Whether you’re a graphic designer, media designer or communications designer, our 4ALLPORTAL Media Asset Management (MAM) tool will give you more time for what really matters: nurturing your creativity. The following story will show you how.
Our graphic designer Callum Creative needs to create design drafts for a new product campaign. First, he communicates with the Management and the customer’s Product Management team. Callum no longer has to spend time searching for images on the customer’s unsorted file server or in stock materials from the internet. Instead, the MAM will display a selection of suitable images in seconds. Supported by a synonymous keyword search, Callum Creative quickly puts together a selection of materials, which he then adds to the MAM project folder specifically created for this campaign.
For his InDesign draft, he can also avoid irksome downloads and time-consuming file handling. With drag and drop functionality, he simply adds his chosen images to his Photoshop or InDesign layout for editing.
The MAM automatically creates a connection between his InDesign draft and the image file on the MAM server. Of course, it also saves the InDesign documents as new assets in the MAM. His first designs are presented and discussed internally. His colleagues’ creative feedback is provided as notes added directly to each asset, allowing him to implement it with ease. The customer presentation then takes place simply and securely via the MAM’s personalised E-Ticket gallery. The customer is notified by email and can even view the drafts on the move directly in their browser.
The customer’s ideas and corrections are then inserted directly into the PDF using the MAM’s comment function. This means all of the customer’s desired changes are documented in full, directly in the asset/draft. The changes are then implemented (in the current draft or a new document) and tweaked until they are approved. As MAM makes the image copyrights clear and transparent, Callum Creative can consider the job done. The software is efficient, fast and cost-effective, integrates the customer’s own thoughts and feedback, and documents every step of the process from design to approval – and Callum Creative and his customers are extremely satisfied!

Whether you’re a marketing manager, product manager or marketing assistant, our 4ALLPORTAL Media Asset Management (MAM) tool will give you more time for what really matters: exploiting your strategic potential. The following story will show you how.
Our marketing manager Mia Marketer has received a briefing on the launch of a new product from the Product Development team. Mia doesn’t have a lot of time, as the Board will expect a finished launch concept and a cross-media marketing campaign by the end of the week. She gets straight to work, because she has to tackle several tasks simultaneously to meet her deadline. To implement the marketing campaign, she needs help both from other departments and external partners like the Product Development team, photographers and the company’s marketing agency. Thanks to her work with the MAM, she won’t lose track of anything, because she can use the tool to generate and manage entire workflows. She tells all of her suppliers about the project directly via the MAM by creating a project folder in the tool containing a detailed briefing and set tasks for each individual.
This means the suppliers can get straight on with their work and keep Mia up to date on the current status of different tasks. The first prints from the photographers arrive in no time – and Mia adds her desired corrections and approves the first images for use directly in the MAM.
All of the other suppliers and departments deliver their assigned tasks one by one, while Mia monitors the entire working process. But that’s not all; instead of having to bother with the difficult task of coordinating her suppliers, Mia can spend the entire day coming up with a marketing strategy for the new product. By the end of the week, she’s done it – and can present the final cross-media marketing concept to her superiors. The Board is happy and gives her the green light to implement the campaign. Of course, Mia will also handle the production of all marketing materials like product brochures, newsletters, online ad campaigns and product videos via the MAM. Once again, she’s one step ahead of the competition.
Whether you’re a key account manager, sales manager or customer advisor, our 4ALLPORTAL Media Asset Management (MAM) tool will give you more time for what really matters: successful acquisitions. The following story will show you how.
At the start of the week, Sam Sales receives news from Marketing that a new product is about to be launched. He’s already looking forward to the market launch and has a few potential customers in mind – he’ll personally introduce the product to them as soon as possible. Until now, he’s always had to spend a lot of time and effort collecting all the information he needed on new products from different sources. Now he works with the MAM that’s a thing of the past, because every department keeps its sales information in a dedicated project folder. There he can find digital product brochures, product images and information on target groups, USPs and competitive advantages in a single, central location.
Sam can therefore put together his sales presentations without needing to follow up with colleagues for any further details. When he’s done, he places the finished presentation directly in his own MAM area.
Using the MAM contact database, he can find potential customers and contact them directly. He can also forward product presentations to customers at the click of a button using the E-Ticket. A few days later, he checks the MAM to see when he sent what to which customer via data transfer. He thinks it’s great that no contacts get lost in the database and that the MAM shows him each contact’s transfer history. After a few calls with his customers, Sam finds a solid lead and arranges his first on-site appointment. He then tailors his presentation to the customer and puts it back in his MAM area.
Just before his meeting with the customer’s directors, Sam has technical problems and can’t access the presentation on his computer. However, thanks to the MAM, he can access his presentation from anywhere, meaning he can still win over the customer. Sam is delighted that his presentation went so well. With the MAM, he was able to quickly and professionally prepare for his acquisition and make a brilliant, lasting impression on the customer.
Whether you’re a fashion, wedding or product photographer, our 4ALLPORTAL Media Asset Management (MAM) tool will give you more time for what really matters: getting the perfect shot. The following story will show you how.
Phillip Photographer has just got a new job. He received an email via the MAM informing him that Mia Marketer has assigned him the task of taking photos of the company’s latest product for a new product campaign. Phillip immediately sets to work and drives to the customer’s premises to photograph the new product. Then comes a much less enjoyable task: post-editing. However, the MAM makes pre-sorting over 1,000 photos a quick and easy task – which is why he could spend an extra hour at the photoshoot. While he was still with the customer, Phillip logged into the MAM and added all of the images from the photoshoot to the project folder.
Back in the office, Phillip pre-sorts the photos using a MAM feature that allows him to compare up to six photos at the same time on a single screen. As a result, he quickly finds the right images with the right details and colour-codes them so he can find them again later.
Of the 1,042 photos he took, he’s soon left with a selection of 65 images to present to the customer later that day. Mia Marketer sends him a short message via the MAM to say that she has submitted the photos in the MAM to the customer for review. At the same time, she sends the online sales manager Oliver Online Store the same photos via the E-Ticket gallery.
She receives the customer’s retouch suggestions the next day via the MAM – as notes added to the individual images. Phillip can then view all of the desired changes for each image and knows exactly what he needs to do next. He takes the photos marked up by the customer and drag-and-drops them directly into Photoshop, where he makes the necessary amendments. Then, he simply saves the files and they’re instantly updated in the MAM in the final project folder. This means he doesn’t have to wait for time-consuming uploads and downloads and helps him to avoid duplicate files. After he’s edited all of the photos, Phillip checks the tick box for the task assigned to him in the MAM. The job is done and the customer will be notified instantly.
Whether you’re an IT specialist, system administrator or webmaster, our 4ALLPORTAL Media Asset Management (MAM) tool will give you more time for what really matters: secure data retention. The following story will show you how.
Isabelle IT has been told about a new product campaign by her colleagues in Marketing. Her job in the campaign is assigned to her via the MAM: she has to add the new product photos to all company-wide systems like SAP, SharePoint and the website. A day later, Isabelle is notified that the photographer has added the final photos to the MAM and a selection of the photos have already been approved by her colleague in Marketing. Now she can get started! She logs into the MAM and simply selects the SAP, TYPO3 and SharePoint tick boxes for the chosen photos.
Thanks to the public asset portal connector set up in the MAM, the software automatically establishes a connection to the desired systems. All of the media files in each system are therefore updated simultaneously. Automated data synchronisation through configured interfaces like the TYPO3 Connector gives Isabelle absolute security when it comes to the usage rights for integrated assets.
Isabelle is delighted with the MAM, because it finally gives her a central location to securely store all of the company’s assets while making them highly available. If a server fails, the MAM also offers an added layer of security as a clustered solution: the system will continue to run stably and without interruption, because it’s spread over several servers. What’s more, her colleagues find the MAM highly functional and extremely user-friendly. This means she has to step in to help less often and has more time for her main responsibilities. For example, she no longer needs to set up new folder structures for individual departments or projects, because this is all done by the users themselves directly in the MAM. Isabelle also no longer worries about giving external suppliers access to internal data. This is because the MAM offers secure, closed access for third parties via defined user profiles, without giving them unfettered access to the internal IT infrastructure.
Isabelle is thrilled that her company has chosen to work with the MAM. Thanks to the application programming interface, it can be effortlessly integrated into the company’s IT infrastructure and delivers top performance on both the Linux Enterprise and Windows operating systems. It also supports the mySQL and SQL server database formats and offers easy access for all users as a browser-based client-side application.
